Tasks
Create tasks, assign them to household members, and set due dates. Everyone in your household sees the same task list, and anyone can add to it.
Creating a task
In the iPhone app, tasks are on the Tasks tab. On the web, they’re in the Tasks rail on the board. A title is the only thing you need.
- Select New on the Tasks tab (iPhone) or + New task (web).
- Type a title, such as “Book the dentist” or “Take the recycling out.”
- Optionally choose who it’s for, change the due date, or add other details (see below).
- Save. The task appears for everyone in your household.
The options
Open a task to see everything you can set. Everything except the title is optional.
- Assign to
- Choose one or more household members who can be assigned tasks. Each person you assign gets a notification. Leave it empty for a task anyone can pick up.
- Due date
- When the task is due. New tasks are due today by default. If there’s no deadline, turn the due date off or clear it.
- Hide until
- Also called snooze. The task leaves your list until the date you pick, then comes back. On iPhone, turn on Hide this task until a date, or swipe a task and tap Snooze. To bring a snoozed task back early on iPhone, open Settings → Snoozed and swipe it right. On the web, snoozed tasks are listed in Settings → Tasks.
- Note and link
- Add details in the note. A web address in Link becomes a button on the task, and links in the note can be opened too.
- Tags
- Label a task, such as Errands, Kids, House, or Money, so you can find and group tasks later. Manage tags in Settings → Tags.
- Priority
- Marks the task as high priority. It shows a ! on the task.
- Show on calendar
- If a task has a due date, this shows it on that day in the calendar. The calendar’s ◷ Tasks toggle turns all task entries on or off.
- Save as draft (web)
- Keeps an unfinished task off the main list. On the web, check Save as draft (or Draft in a phone browser). Find drafts in Settings → Tasks, and uncheck the box when the task is ready.
Filtering the list
At the top of the task list are two filters:
- All / Mine
- Mine shows only tasks assigned to you.
- Today
- Shows today’s tasks plus anything overdue or undated, and hides tasks scheduled for later.
Finishing a task
- Select the circle on the left of the task. Selecting the rest of the task opens it for editing instead.
- If you didn’t mean to, select Undo, which appears for a few seconds.
- Finished tasks move to a Done today group at the bottom of the list. Select the circle again to reopen one.
On iPhone, Settings → Task history lists tasks completed in the last 30 days and tasks that were archived or deleted. Swipe one right to bring it back.
Working together
- Assigning and nudging
- When you assign someone, they get a notification. On someone else’s task, Nudge sends them a reminder that opens the task.
- Comments
- Each task has a comment thread, separate from the note. A new comment notifies the task’s creator, the people it’s assigned to, and the household’s other adults. The person who wrote the comment isn’t notified.
- Share
- Share sends a link to the task by text or the share sheet. The link opens the task for people in your household after they sign in.
- Convert to a list item
- For a task that’s really something to buy or a place to try, select Convert to list item (iPhone) or 📋 → List item (web), then choose a list. This moves the task: it becomes an item on that list, its note and comments go with it, and it no longer appears in Tasks.
Where tasks come from
Besides the New task button, tasks can come from these places. Tasks that come from outside Gatherby are labeled with where they came from.
- Siri (iPhone)
- Say “Add to Gatherby.” Siri asks what to add, then Gatherby files it as a task, a grocery item, or an appointment and tells you which. No setup needed.
- Apple Reminders (iPhone)
- Optional and one-way: Gatherby reads one Reminders list you choose and adds its items as tasks. Changes in Gatherby aren’t sent back to Reminders. It’s off until you turn it on. See Connected accounts for setup.
- Google Tasks and Todoist
- Connect your account in Settings → Connected accounts. Tasks sync both ways. For Todoist, you choose which projects sync.
- Forward an email to task@gatherby.app from the email address on your Gatherby account. The subject becomes the title, the message becomes the note, and links are kept. On the web, a task that came from email or Google Tasks has a ✨ Make sense of this button that rewrites an unclear title as a clear action. Check the new title and edit it if needed.
- Quick notes and sharing
- Write it in Quick notes and select ✨ Make sense, or share something to Gatherby from another app.
Applies to the iPhone app and the web, except where noted. Reviewed October 26, 2026.
